Preparing for the County Court Public Meeting

Date: Wednesday, July 9th
Time: 6:00 PM
Location: 131 Washington St, Canyon City, OR 97820

Objective: Finalize and assign the drafting of our letter to the Grant County Court for the July 22 public meeting. Briefly review action team progress and gather any new input.


I. Welcome & Purpose (3 minutes)

  • Welcome and meeting objectives
  • Ground Rule: Stay focused on actionable steps and the upcoming county deadlines

II. Website Document Privacy Discussion (10 minutes)

  • Topic: Should we keep our drafts and other documents in progress off our working group website (gcorlibrary.org) since they are potentially viewable by the general public?
  • Discuss pros and cons of public access to in-progress materials
  • If yes then discuss how we can store and share these documents and who will have access to them.

III. Review of Letter Submitted to the Court (10 minutes)

IV. First Public Hearing Letter (40 minutes)

  • Purpose: Discuss and outline the letter to the county court (due ThursdayJuly 17) for first public hearing Tuesday, July 22, 2025
    Notice of Public Hearing
  • Content Focus:
    • Demonstrate the level of community involvement and support for "Save Our Library"
    • Summarize key findings and information gathered so far
    • Outline actions we plan to take and the timeframes involved
    • Incorporate Court Responses to our previous letter (at next meeting 7/16)
    • Add an more questions we need the county court to answer
  • Drafting:
    • Start Drafting during meeting
    • Assign followup writing responsibilities
    • Set review deadlines
    • Final Draft to be approved at the next meeting 7/19
  • Supporting Materials: Identify any data, stories, or testimonials to include

V. Action Quick Reports (30 minutes)

  • 1: Library District Research & Strategy – Updates, new findings, or needs
  • 2: Building & Collections – Status of building negotiations, collection security
  • 3: Foundation & Legal – Legal counsel, foundation readiness
  • 4: Community Engagement & Fundraising – Outreach, fundraising, grant/donor updates
  • 5: Operations & Budget – Staffing, budget, service planning
  • 6: Technology & Communications – Website, volunteer coordination, communications

(Each group: 3-5 minutes max, focus on new info or urgent needs)

VI. Next Steps & Assignments (10 minutes)

  • Confirm letter drafting timeline and responsibilities
  • Set deadlines for any outstanding action deliverables before July 17
  • Plan for internal review and approval of the letter

VII. Next Meeting Planning (2 minutes)

  • Confirm next meeting for 7/16
  • finalize our public meeting letter for submission on 17th
